Take Care of your Vendors

When you think about it, some of your vendors are there with you through the better part of your Big Day. Your photographer, videographer and day of planner gets started around the same time as you do that morning and continue well into the evening. Your DJ then arrives anywhere from 2-3 hours before your cocktail hour or reception begins. They are interactive and keep the energy high during the remainder of your Wedding Day! If you were questioning if, and when, to feed your vendors the answer is yes and after the family table. Consider this, your vendors are professionals and will not require a full half hour to eat. They simply want some fuel to get them through the rest of your evening. If your vendors are eating after the family is served they are not missing any necessary shots and the DJ is not playing any requests or worried with keeping your dance floor full! This always works better because then your vendors are not sitting around with little or nothing to do for 45 minutes while your guests enjoy their dinner.
If you wait to serve your vendors after your guests have eaten the problem is that now your guests have eaten and they expect your vendors to work. Your guests are now looking for the next event on your timeline because they are no longer have anything occupying their attention. You have put a lot of thought into your timeline and this is something that should take just as much consideration as other details to ensure that your evening is executed without a hitch!

Don’t Put Baby in the Corner

No one wants to be sitting at the table closet to the DJ during any type of an event. If you are not mindful when doing the layout for your reception, then you may end up with guests sitting closer to the DJ than necessary. You do not want your DJ positioned in any corner! Doing this will make it more difficult for the DJ to entertain your guests. Your DJ has to provide music for the entire reception area, not just the tables closest to him. If your DJ has to setup in a corner of the venue it will make it extremely difficult for the sound to be even throughout the entire venue. The people sitting at the tables closest to the DJ, or between the DJ and the dance floor, will experience the music at a much louder volume because the sound will have to be louder to get to the other side of the room. Instead of placing the DJ in a corner they should be directly beside the dance floor where he can be more interactive throughout the entire evening!

If it is absolutely necessary for there to be a table closer to the DJ than others than maybe you can consider seating your “party people” or younger guests nearest to the DJ. This is a better way to ensure everyone remains happy instead of sitting your grandparents or great aunts and uncles near the DJ.

Keep in mind that it is better to have an interactive DJ versus someone who just sits behind a table pushing buttons all evening. Your guests will have a more enjoyable time in addition to perhaps learning some new dance moves from the experienced and professionally trained DJ!

When you begin selecting vendors, the photographer may come with a higher cost than you initially thought, but have you considered the amount of time that goes into creating an album you will cherish and share with loved ones? A professional photographer is going to commit to at least an 8 or 9-hour day full of maintaining peace and anticipating shots important to the day as well as shots important to the couple. You may think you have a good friend with a great camera that can capture shots for you, but what happens if something goes wrong with their camera? Will they have a backup camera or extra memory cards? Will your friend have various lenses and be knowledgeable enough to adjust the ISO when the lighting changes? What if they are sick the day of your Wedding, do they have someone to send in their stead? If something goes wrong and they cause an accident, are they insured? These are all questions/concerns to address and consider when planning who will photograph your Big Day. Professionals anticipate all of these things and have the network and experience to ensure that you are covered regardless of what may happen.

You only have one chance to capture the emotion and meaningful moments that will create the lasting memories that come with such a special day. You do not want to be divested by photos that don’t even do your special day the justice it deserves. Select a photographer with a great personality and the style to capture your Wedding Day the way you want it. The final product will last a lifetime and be viewed by not just you and your spouse but by future generations as well! Hiring a Professional Event Planner can prove to be far more valuable than you may have thought. Imagine, you are planning one of the most important days of your life and you do not want anything to mess that up. You want your venue to be beautiful; your vendors to be on the same page as well as ensuring your guests have a wonderful time! Have you ever taken a moment to think about what goes on behind the scenes and what could possible go wrong on such a busy day? Hiring a family friend to get you through this day may not be the best idea because although they “know how you think” they probably have not done as many events as a professional planner has and they do not know how to handle certain situations that could go wrong! We got the chance to catch up with Professional Event Planner Natalie Berger in the midst of her busy schedule to pick her brain a bit and have her shed some light on some planning do’s and don’ts to help guide you to a very special Wedding Day!

  • What separates your services from other Planners?

“I am an event planner that takes care of each client…you meet me, you hire me, you GET ME!!! No associates will run your event that day, I am there for you!!”

  • What advice can you give to New Brides and Grooms about planning their wedding?

“Make a budget…..stick with it!!! More does not mean BETTER!!!!”

  • What would you say to Brides and Grooms in having their “Friends or Aunt’s” be their Planner?

“Having a relative or friend help plan and run your special day is not fair to them or you…they will not be able to enjoy your day with you and things may come up, that they do not know how to handle. It is much easier to delegate things to do or correct to a paid professional…”

  • What’s one of the Biggest Mistakes you see that Brides and Grooms make in planning their wedding?

“The #1 thing to hire when planning your event is great entertainment!!!  Having fun at a wedding is what you remember, not the color scheme or food choices, music selections, dancing and having a fabulous time with family and friends is the key to a great event!!!!”

  • Anything else you want to add?

“When hiring vendors, get references, make sure they have worked the venue, and they should make you feel like you are their only client!!!”

A great way to add more elegance to the décor of the venue on your Big Day would be by adding ceiling treatments. Those beautiful fabrics hung in a design from the ceilings enhance the décor with custom drapery in various sizes and colors! You can choose to use any type of fabric such as a shear or a velour fabric, depending on the vision you want to execute. Just keep in mind that considering the size of the room, the color and type of fabric you would like used as well as the labor necessary to complete the job can make this custom idea a little more expensive than you may have budgeted for. When going this route, you are looking at easily spending anywhere from $4,000 – $6,000 no matter what professional company you choose to use. Give us a call and talk with our lighting designers to see how to achieve the added style and classiness to give your venue a one of a kind look for your Very Special Day!
