This month we focused on the Top 10 reasons you should hire a professional vendor for your wedding day. Last week we covered why “Professional Equipment” and “Level of Commitment” are so important. If we have not already convinced you to hire a professional, this week we have the TOP 2 reasons why you definitely should use professional vendors for your upcoming wedding day!

#2: Experience

Now, we know you all expected experience to be the top reason to hire a professional. Believe it or not, there is something more important. You definitely do not want to be the guinea pig for a hobbyist to get a “first wedding” under their belt. We understand that everyone has to have a first wedding, but no one ever wants their wedding to be the first! Your DJ can become more comfortable and gain additional experience from a Sweet 16 or Corporate Event, but your wedding is far too important to have them mess it up. 

Do as much research as you can and ask other vendors about the vendor you hired. Anyone can create a website, put photos online and link reviews from past events, but doing your research will ensure that your vendor is telling you truths about their company and experience. The professional training your vendor has received should be adequate and have helped them build on the art they enjoy so much.

#1: Back-Up

Back-up equipment is always a necessity for any vendor. You have no way of knowing if the technology you are using will malfunction. Additionally, have you ever thought about what could happen the day of your wedding if any of your vendors have a death in the family, get sick or even encounter a car accident? We have. It is for that very reason why your vendor should have both back-up equipment and personnel from their company, not outsourced. This will guarantee the back-up personnel is familiar with the company policies and how to access all of the information you previously shared with your vendor about your wedding. The replacement should be able to jump into your big day without any notice and still make it memorable as though there were no hiccups along the way. You want to be sure to ask about back-up equipment as well. Not only should your vendor have back-up equipment on hand at your wedding but you also want to ensure that it has been maintained and in working condition. 

You have hired the professional based on their skill, experience and personality. You want to make sure that your wedding is something you and your guests will never forget. You only get one shot to create memories during your wedding day. If you choose to hire a hobbyist yes, you will most likely save money…but at what cost?!

#4: Professional Equipment

The equipment used by your professional should not be anything that your uncle or cousin got from Best Buy. Your professional vendors should be using professional quality equipment to perform. Your photographer and videographer should have the proper lenses to create different effects throughout the day. They should also be utilizing a professional grade camera instead of a consumer grade product. This will help avoid dark or blurred images or poor sound quality in recordings.

In order for equipment to maintain its quality it also needs to be cared for. That means proper maintenance on equipment as necessary. Your DJs equipment is no different. The equipment should not be anything you would use in your home to throw a party. The equipment should be comparable to what major recording artists use when they go on tour!

#3: Level of Commitment

When you hire a professional vendor, you are hiring someone who makes their craft their main business. Not someone who works in an office during regular business hours then tries to find time to commit to your event “when they can”. For photographers and videographers this may mean an integrated list of locations on their website and for your DJ this would include a song database. These helpful custom forms will not only ensure that your vendors know the right order of events, but they will also make your wedding more successful by not front-loading your day. From experience, your professional vendors will be able to make suggestions on how to enhance your wedding day in ways that a hobbyist may not realize.

#5: Professional Relationships

Each of your hired professional vendors should be established within their field and have built relationships with other professional vendors and venues. Professionals acknowledge other professionals within their field and generally work well together. Image a team of hired professionals that have never worked together before working in sync during your wedding due to their mutual understanding of timing. They have the experience of working a variety of events and know what comes next or how to adapt to a variety of circumstances thrown at them by the client.

#8: Reviews

One of the best ways to judge the type of service you will receive from your wedding vendor is to read what past clients have to say about their wedding experience. Hiring a professional means that you should be able to access client reviews very easily. Most professional vendors have a website with real client testimonials.

Any friend of the family or hobbyist that you hire most likely will not have a website or anywhere online where they advertise their services. Which also means there is no place online where clients review their services. You have no way of knowing what kind of quality you will be receiving, how well (or not well) that vendor works with other vendors and most importantly, your guests!

If you ever you have a less than satisfying experience, a website where you can list a review is the best way to share your displeasure. Doing so can not only be helpful for any prospective clients but also other vendors and possibly even venues that are considering using their services.

#7: Unprofessional Behavior

Unprofessional behavior presented by anyone being paid to do a job during your wedding day is unacceptable. Your vendors should always have 100% of their focus on what is going on around them and how they can enhance the memories of your wedding. That being said, none of your wedding vendors should even consider having an alcoholic beverage during your special day! Sure, one beer probably will not change the creativity of the photographers shots or cause the DJ to incorrectly say the name of the mother of the groom; but is that really the image you want your hired professional to give about their company?

If you are feeling uneasy about broaching this topic with any of your vendors just be sure that you include a clause in your contract to ensure your vendor remains focused on the job and remains professional. Ultimately, the vendor is being paid for their professional services. Drinking during any job is far from professional!

You may be thinking that your big day will survive if you choose to hire a friend or “self proclaimed” professional for the most important parts of your wedding day. There are many reasons why you should hire a professional vendor over a hobbyist. This month we are going to focus on the top 10 reasons you should hire a professional for your wedding day.

#10: Contracts & Insurance

How can you ensure that the vendor you hired will be there on your big day? If the vendor you hire does not have a professional, legal binding contract you may just have to hope for the best. Be sure to read the fine details on each contract so that you know exactly what to expect from your vendors. Is there a cancellation fee, when is the retainer fee due and what time should you expect setup to begin? Simply discussing these topics with your vendor is not enough. Be sure to get everything in writing!

One of the major incidentals you may not think about when planning your wedding is the liability insurance coverage held by the various vendors you hire. It is literally going to take a team of great people to pull of such a special day and realistically, anything can go wrong. Liability insurance can cover a large range of incidents. Anything from the DJ saying the wrong thing over the microphone causing a fight, an unsecured speaker falls on someone or even wires not being secure causing a guest to trip and/or fall. If anything should go wrong, you want you guests to feel comfort in knowing the vendors are covered! Most venues require a minimum of 1 million dollar liability insurance.

#9: Quality

When you consider hiring a hobbyist as a lead vendor during your wedding day be sure to consider the quality of your end product. Will your vendors provide over one thousand photos to choose from and enough video footage to edit? Is there an easy and convenient website offered for viewing and purchasing?

Be sure that both your photographer and videographer use the proper lenses to give you different looks throughout the day. They also need to be knowledgeable on how to light and white balance each room at your venue. Both of these vendors should also be using a professional grade camera instead of a consumer grade product. You do not want your images/video to turn out dark without color correction or even with poor sound recording.

If you choose not to hire a professional emcee then you run the risk of poor, possibly unmaintained equipment being used, no planning tools and a lack of room control. If the DJ/Emcee is not in tune with your guests how will you ensure they are having a good time? Don’t risk it!

Lastly, if you decide to want to utilize a photo booth, be sure that there is an actual DSLR camera being used and not a web cam. Your final product will give a much clearer image that can be blown up to an actual 4×6 or 8×10 later without losing quality. An inkjet printer will also create a better product than a thermal printer resulting in a charming keepsake for your guests!
