When faced with planning your wedding timeline, your to-do list might seem very scary at first. Do you order the catering first? What about the flowers? And of course, you have your dress to think about and that has to be perfect!

This month at Wenning Entertainment, we’re going to cover the exact order you should book your vendors in to make sure that everything runs smoothly for your big day!

Step 1: Your Venue and Reception Hall

To cover all of your bases, you want to focus on the hardest, most in-demand vendors first. So, the first thing you want to do is book your venue and reception hall. These can be separate or combined depending on your location and price point. It’s best to get a jump on this first so that the place you have in mind will be available for your date. Plus, knowing the venue will make planning the fun stuff like flowers and seating arrangements way easier.

Step 2: Your Entertainment

The next step is to book your entertainment. If you aren’t familiar with the world of wedding vendors, you might be overwhelmed with the volume of wedding bands and DJs there are. Entertainers can be booked up to 2 to 3 years in advance so get a jump on that. To make sure that you find the best one to keep the party alive all night long you’re going to want to research and research early.

Step 3: Your Photographer

Then, your next step is to book your photographer. Good photographers can be booked for up to 2 to 3 years in advance so get a jump on that. This is one of the most important days of your life. You’re going to want it captured by a reliable photographer that you trust. So book them early!

Step 4: Your Videographer or Cinematographer

Lastly on this list is your videographer or cinematographer. Some people are still wary about traveling and large parties. To make sure you have a video worthy of showing grandma, book your videographer or cinematographer in advance. They always book up to about a year and a half to three years in advance.

During your wedding, you will have all sorts of guests in attendance. Young friends and old relatives alike will be laughing, dancing, singing, and having a great time! Having that all in the same video is so valuable. Later in life, It will be great to look back and see old friends, family, and your partner smiling and having a blast!

Preserve their memory forever

This wedding video will also be a testament to the memories captured that day. You never know what what life has down the road. A family member can pass on or a friend can get into an accident, or a loved one could move somewhere far away. Wenning Entertainment’s own Eric and Heather learned first-hand how important having video can be. 3 days after their marriage, they found out Heather’s father was diagnosed with ALS. Luckily, there was so much recently-filmed footage of Heather’s father giving a toast, dancing, and smiling and having a great time. Even after the terrible effects of ALS had set in, there will always be that night of life and joy captured forever on video.

The average cost of a wedding can vary depending on the location. An average wedding budget in Pittsburgh and the surrounding areas can cost around $35k. This is based on the industry standards of the wedding professionals across the country. The average cost of a wedding depends on what the bride and groom wants for their special day. This does not mean one is better than the other, especially if you budget properly to create the wedding of your dreams!

Venue, Food and Beverage Budget

The most expensive thing to budget for at your wedding is going to be the venue, food, and the beverages. The venue contributes to several parts of a wedding like the decorations, cake, and linens. Feeding your guests is also the main part of a wedding reception so make sure to budget for what you need! Keep about 50% of the budget for your favorite venue, food and drinks.

Photography/Videography

Photography is another important aspect of a wedding because you need to capture all of the special moments that day. Professional quality pictures that will last a lifetime can be achieved by reserving 15-20% of your total budget for this. Now-a-days it is becoming a necessity to have a videographer at weddings. Entertainment

Several surveys showed that the entertainment aspect is what 80% of people remember most about a wedding. Allocating only 10-15% of your total budget will be well worth it to make sure you can hire the DJ that will make your wedding a night everyone will remember! Budgeting this amount for entertainment guarantees a professional for the entire length of the evening.

Several factors need to be considered when creating your wedding budget and deciding how much to put towards entertainment. Understand what you need and what you want; this will help you create (and stick to) your budget.

Creating a budget entails knowing what wedding services cost. A good rule of thumb is to budget 10-15% of your total budget towards your wedding entertainment. Research shows 80% of people say entertainment is what they remember most from a wedding. Food and alcohol are a close second.

Remember, a professional wedding DJ does more than just stand behind a table and play music. There are elements such as planning, crowd management and timeline flow that go into a successful wedding day. These elements also go into the final pricing of your professional wedding entertainer.

Length of Event

How long of a day your DJ will have plays into the final cost of your wedding entertainment. If you are having your ceremony, cocktail hour and reception all at the same venue you will be saving money in the venue category. However, if you will be having a cocktail, ceremony, reception at that one venue in various rooms of the venue then you need to have multiple sound systems set up.

Pre-Planning

DJs are accountable for the timeline of your event. They are also responsible for coordinating with the various vendors that you will be using throughout your Big Day and keeping everyone on the same page.

Most professional DJs will also include a 2-hour set up and 1-hour teardown free of charge. The client is only charged from the time that the first guest arrives until you say the night is over. Your DJ will also invest unpaid time into your event via 20 or more hours of playlist preparation, timeline organization and going over bridal party names.

Number of Systems

You may be saving money having your event in one venue, which you are on your venue costs but because your professional DJ will not move systems you might have to pay for additional system set ups. Not only is it unprofessional but it is also time consuming and goes against insurance obligations. Having a system setup in each room of your venue that will be used helps with the flow of the evening and keeps from disrupting you guests as they enjoy the atmosphere of your special day.

Venue

Each venue has a different layout that may affect the sound. Some venues may be less accessible for the DJ and his equipment, so the needs of the equipment may need adjusted which can affect the price.

Keep in mind that with your final price you are paying for experience, accountability, peace of mind, back-up equipment and personnel as well as professionalism, contractual obligations and insurance. Most venues will not let an entertainer perform if there is no liability or workers compensation insurance. So if you decide on a hobbyist be sure that they have all of their I’s dotted and T’s crossed!

To understand industry standard pricing it may be helpful to know the difference between a professional entertainer and a hobbyist.

Differences

A professional entertainer is an expert in their field. They are certified or have a degree that exhibits their talents. They provide talent and proof of commitment by the time and money they have invested into becoming a professional of their craft. Professionals also have higher level of experience that they bring to the table. Experience is important because talent only goes so far. Experience equates to knowledge and knowledge is what counts when it comes to troubleshooting problems, understanding equipment, signal flow, etc.

A hobbyist does a job on the side for pleasure or as a hobby. Meaning that the job is not a top priority. A hobbyist is generally a one-man show. This can be a bad idea because what is their backup plan in the event of some unforeseen instance? What happens in the event of an accident, food poisoning or even a death in the family? You can’t simply invite your guests back next weekend so having a firm backup plan as well as backup equipment is crucial.

Insurance

To achieve a successful wedding reception goes far beyond showing off your equipment and how loud your sound system can get. Not only do you want to be sure that you have a contract with clear expectations for both parties for your event you also want to be certain your entertainer has proper insurance coverages. Some venues require both liability and workers compensation insurance in order to perform. Having this insurance will cover you as well in the event that someone gets hurt you will not be liable for any damages that may occur during the evening.

Credentials

Hiring a company comprised of professionals guarantees you are paying for commitment and success. Full time entertainment companies provide contracts, backup equipment and personnel as well as proper insurance. The company will have paid staff on call so there is always a professional entertainer available for your booked event. They also have backup equipment on site just in case of any sudden issues. Hiring someone dedicated to the success of your event is far more inviting then someone who only has time for your event after they complete their 9-5 job. Be sure to ask questions and do your fact finding before making a final decision on your wedding entertainment.

Several factors need to be considered when you when determining what affordable is and means to you. If you prioritize the most important aspects of your special day then you will be able to see what you have left to budget on the less important items. You should never have to sacrifice quality for saving money.

What is Affordable?

Generally, affordable will mean a product or service is reasonably priced to meet needs in relation to quality. However, affordable means something different to each individual. This is why when you call a DJ and say, “Hey, I’m looking for a reasonably priced DJ. How much do you charge?” The answer is never that simple. Industry standard is 10% – 15% of the total budget you have set aside for your wedding day.

When setting your wedding budget and determining what is affordable to you remember to consider experience. At least once during planning you may go into “sticker shock” but consider experience and understanding that there is a list of unforeseen incidents that can happen. If you are choosing to book with an entertainment company, then bear in mind that they have planned for each and every contingency that can occur. Details like these can be accounted for in the final pricing that you may receive from your vendor.

Preferred Vendor List

When you receive vendor recommendations from a trusted source, take note. Sure, you can research on your own. But with each review that you read online, do you actually know the source of that review? Most likely not. However, when it comes to your venue, you are trusting them to handle all of you and your guests requests so why wouldn’t you trust their opinion on various wedding vendors.

Venues will regularly update their Preferred Vendor List with the best vendors they have worked with at the venue. They have seen more Entertainers, Photographers, and Videographers than any one member of your family or friends. With this list, your venue is putting their reputation on the line, so they will not be recommending a mediocre vendor. Sometimes getting the review from an actual wedding professional can give added insight on the vendor. Venues can be more honest about their experiences with a vendor since they work closely during events.

Make Planning Easier

Listen to the professionals who have personally seen specific service vendors in action. Venues offer a list of Preferred Vendors, for a reason. They want your event to be a success!

Your venue knows what works and what does not work for their site, and so do their preferred vendors. They also know what vendors will be able to execute their industry service skillfully and professionally at your venue. Preferred vendors have completed events at that venue quite a few times and are most aware of the setup needed and how to successfully get your guests to have a great time.

Once you receive your Vendor List, still do your research, but keep in mind that recommendations do not come to those who don’t put in the work to receive such a compliment. You’ve done the work in selecting the venue, now it is time to take the vendor recommendations to help with further planning!

Accessing information on the internet, especially when on the run, has never been easier or more convenient because of smartphone technology. This makes doing research and contacting vendors for your wedding less of a hassle when you can work on these things quickly and easily throughout the day, in between the busy parts of your schedule.

Helpful Apps

The notepad app is perfect for keeping all your notes in one place. Scheduling an appointment with vendors and venues can be kept organized through the calendar app. All smartphones have some version of it. You can even create alarms and reminders so you will never miss a beat!

Organizational Websites

Most people don’t realize the immense number of websites available to help with wedding planning. There are sites for calculating budgets, organizing seating charts, theme ideas and so much more! Use any search engine to find the most closely related sites that will be the useful to you.

Remember, you don’t have to do everything yourself! Consider all of your options when it comes to enlisting help. You can hire a professional wedding planner. This person can make vendor recommendations or even disclose insider suggestions to enhance your special day.

Another option is to take advantage of family help. If you have someone that is overly willing to help do some research (or any task you don’t want to do)…LET THEM! You can even give a few suggestions and let them choose which one they will enjoy helping with the most.

By trying these methods you have already shared your wants and everyone helping can assist with the logistics of making it come to fruition. Usually they will speak up for your guests as well but keeping things in perspective for you. Usually anyone you enlist to help with planning will be excited to help out!

Your marriage license is one of the most important documents you will need in order to get married. There are so many details and variables that go into the application process. This month, we are going to focus on the where, when and how long it takes to get a marriage license for your upcoming Big Day!

When to Apply

Don’t wait until the last minute to apply for your marriage license because it does take a few days. Your marriage license will have an expiration date anywhere from 30-90 days after it is issued. Schedule time to apply for your license 2-3 weeks prior to your wedding date. Unfortunately, there is a 3 day waiting period to complete processing your marriage application.

In-Person or On-Line

Many states allow you to apply for your marriage license on-line or in-person. If you apply in-person some states will give you the license right away. However, your license will not be valid until 3 days after submission. Other states will simply mail the license to you after processing.

Waiting Period

You must wait 24-hours after your application is processed before your ceremony can be performed. Your marriage license is ONLY valid for 30-60 days after being issued. That means you MUST get married within that timeframe. If you don’t, you will have to restart the application process.

*If you are having a destination wedding be sure to allow additional time. There may be a longer processing time and added steps to complete the application*

Your marriage license is one of the most important documents you will need in order to get married. There are so many details and variables that go into the application process. This month, we are going to focus on the where, when and how long it takes to get a marriage license for your upcoming Big Day!

What You Need

The essentials for applying for your marriage license may be one of the simplest tasks you have to cross of of your list. Most states require your a valid photo ID (i.e. driver’s license) and social security number. If you are under 18 you will need your birth certificate. If you have previously been married or are widowed, don’t forget to bring along the divorce decree or death certificate.

Destination Wedding

If you are having a destination wedding you should check with that local marriage bureau to double check on what requirements that state, or country may have. Some locations require your birth certificate, a blood test, or even a Visa. Depending on where you are going you may need to translate your wedding documents as well.

Application Fee

Check to see if your local court accepts cash, checks, credit cards. Be sure to double check before you go to see what forms of payment are accepted during the application process. You can expect to pay anywhere from $80-$100 depending on your state and/or prior marriage.

Creative Wedding Ideas

You want your wedding day to be memorable and you want your attire to be just as memorable. This month we are focusing on 2018 Wedding Trends. If you are considering making your wedding day stand apart from the rest, consider some of these creative wedding ideas!

Wedding Dress(es)

Several brides have been flirting with the idea of having two wedding dresses on their Big Day. One formal, more traditional style dress with tulle and train for the ceremony. The other dress may be a more revealing short dress that accommodates the less formal party vibe of the reception. If you’re changing due to personal preference or because of comfort and style, you deserve to be comfortable either way. Make the decision that will let you enjoy your special day!

Why Change

It has been a tradition for years in several cultures for the bride to make a wardrobe change. This trend has become more and more popular in the past years for contemporary and modern weddings. Some brides have a tough time choosing their favorite dress, but the majority of brides deciding on two dresses do so because the dress they love for the ceremony is restrictive and doesn’t allow free movement for dancing. Depending on the time of year or the venue there may be an indoor/outdoor option as well. A change in dress will allow the bride to go from hot to cold comfortably.

When to Change

Changing after the I do’s and before the toasts is most common. During the cocktail hour once your formal photos are complete is ideal. While guests are grabbing a drink and catching up with each other you can get changed and touch up your hair and makeup to be sure to wow your guests once again during your grand entrance. You can also decide to do the first dance in your ceremony gown then change during dinner before guests hit the dance floor. This option allows you to feel flirty and sultry as you dance the night away!

Regardless of the time you decide to change, be sure to have your shoes, accessories and dress laid out for ease. Pick 1-2 bridesmaids or family members to accompany you while changing. Now, be sure that once you arrive in your changing area that someone sets an alarm or timer for 5-10 minutes. This way, you won’t end up spending too much time changing and gabbing and miss your reception!

Alternatives to Changing

Simply put, all dresses are not made for dancing. Something more comfortable with casual shoes will help you finish the evening of a long day. The idea of two wedding dresses has become so popular that designers have begun to make convertible dresses or two-in-one dresses. This option is a more cost effective way to achieve the look of two dresses without going over budget. This is also a great idea for the bride that absolutely loves their dress but just wants a little less dress to enjoy dancing in.

Going this route will ensure that you get the fairytale dress for your ceremony and remove the tulle skirt to reveal a classy but stylish look for the reception. For a more modern chic look, brides have even been incorporating jumpsuits into the mix for reception attire!

You want your wedding day to be memorable and to be sure that your guests enjoy themselves. There will be so much going on throughout the day that you are sure to miss a lot. Using a GoPro is a fun way to see your day through your guests eyes and catch all of the great moments that you may have missed!

GoPro

A GoPro camera is a small camera that can be attached to almost anything. With this you can capture the moments you never want to forget from your special wedding day. A really popular trend with the GoPro is to place it in your floral arrangement. This gives you the ability to capture your guests’ reactions while you walk down the aisle. You can even use the GoPro when you toss the bouquet! Imagine the great footage you will get and be able to incorporate into your final video.

Mounting the GoPro is another creative trend to use. Simply attach the GoPro somewhere stationary to capture the day and you can do a time lapse to incorporate the material in with your final video. Try behind the alter or even adhering it to your officiant for those extraordinary moments you will never want to forget.

You can also attach the GoPro to your favorite bottle of alcohol. We highly recommend this is you have a party crew! When you see how many people enjoyed a toast with you on your special day you will love the reactions! This is ideal for your bridal party during the limo or even while getting ready!

Consider hiring someone online to edit the footage for you or try using a video editing app on your own smart device. This is be a more cost effective route versus having your videography edit the footage.

This past month our wedding photographers Megan McGreevy and Sarah Casile have shared some useful ideas and great tips for your upcoming wedding photography.

Go-To Person

You should be able to enjoy your special day without having your wedding photographers trying to get in touch with you. Assign someone you trust and who knows specific details about what is going on during the day to be your go-to person. You will want to have a go-to person for both the bride and groom. This person should preferably be someone that can stay in contact via text and will stay relatively sober throughout the day.

First Looks

First look photos are a newer trend that is a great way to capture more emotional and intimate photos. Couples simply want to enjoy the powerful moment when they see each other for the first time. Some people still believe it is bad luck for the groom to see the bride before the ceremony. If you are a superstitious person or simply a traditionalist then the first look is not for you.

Time Expectations

If you are planning on taking photos at more than one location, be sure they are close to each other or you have a lot of time available before your reception. When you take into account distance and traffic you may end up eating into far more time than you thought you would. Instead, try choosing one location you adore the most and let your photographers maximize that one location.

Engagement Session

An engagement session is a more relaxed photo shoot. The couple gets photos taken to use for save the date cards, wedding website, or even display at the reception! Another great reason to do an engagement session is getting a preview of how things will actually go on your wedding day.

An engagement session is a more relaxed photo shoot. The couple gets photos taken to use for save the date cards, wedding website, or even display at the reception! Another great reason to do an engagement session is getting a preview of how things will actually go on your wedding day. You’ll also get a preview of what it’ll feel like in front of the camera. It goes without saying that you will be spending a lot of time with your photographer on your wedding day. This gives you a chance to get to know your photographer and share with them the vision you want captured for your wedding day!

Timeline

Your engagement session should be scheduled approximately 8 months before your actual wedding date. This usually falls somewhere around 2 months before the Save the Date cards go out. When you schedule, your photographer will tell you how much time they’ll need to edit the images before returning them. If you’re creating save the date cards or just want to use some of the images at the reception, you will have enough time to design everything.

Packages

Typically an engagement session package includes a 2-hour session. Your contract may include unlimited locations, however, bare in mind that you have to account for travel time as well. Try planning for 2 locations that are close to each other so that you can maximize your time. Expect your engagement session package to run around $400 for the 2-hour session. There may be some add-on services you can take advantage of. Check with your photographer to see if they have anything additional that you may be interested in.

It goes without saying that you will be kind of busy during your wedding day. You should be able to enjoy your special day without having your wedding photographers trying to get in touch with you. Assign someone you trust and who knows specific details about what is going on during the day to be your go-to person. There are certain shots your photographers will need to have in order to complete your album so staying in contact during the different stages is both essential and tedious. Why bother yourself with trying to maintain order and communication with various vendors? By designating someone to take on this task you will be able to enjoy everything about your wedding day. Your photography staff will be able to text or call the go-to person to see where the bride is while getting ready. Is makeup done, will she be getting into her dress soon? This will also come in handy when traveling from the church to the photography site. Once everyone has arrived at the reception that go-to person will have completed their tasks and can now enjoy the evening along with everyone else.

Your bridal party will cherish anything handmade more than anything store bought.

Book Out of Season

Some vendors offer a discount if you book your wedding during the off season. Consider off season as being late fall or winter. You can also think about booking on a Friday or Sunday during prime wedding season. You may not receive as deep of a discount as off season but you may still be able to save some money. Sometimes if there is an upcoming long holiday weekend you can try to plan your Big Day for a Thursday. Since they are not very busy on those days, and especially during the off season, venues look being booked for the right price!

Flowers

Most couples include flowers into the budget for their Big Day but most people don’t realize how much flowers can actually cost. Instead of spending close to $9000 on flowers, that you will ultimately give or throw away after your reception, cut that budget and supplement your design. Try spending around $1500 and create a small lighting budget that will give a bigger effect while saving you money!

Lighting

Try adding lighting to give your venue the perfect look. Sometimes simple can be just enough! There are many lighting design styles that you could use to add to the special décor for your upcoming wedding reception. A monogram is a timeless way to illuminate the dance floor at your wedding. Display your names or initials on the wall or dance floor but don’t forget you have options in this area also. For an added interior decoration, try a monogram that matches your theme, snowflakes for a winter décor or even your personalized wedding logo!

Up-lighting and down-lighting will add an effect to whatever they are shining on! Down-lights will transform your chandeliers while up-lights are used for walls and sconces. Not all venues are able to use pinspot lighting for tables and centerpieces. Using LED up-lights will give you the same effect without changing your centerpieces!

Linens

If you will be using any linens or drapery to decorate your venue it may be more cost effective for you to actually buy your own linens rather than renting them. We know, it doesn’t make sense, but once you factor in delivery and labor costs in addition to cleaning fees for the next rental you are looking at spending anywhere from $1200 on linens to $4000 depending on the style you choose. You will save money going this route and then after your event you can have them cleaned and resell them on any of the various wedding resell websites.

Rehearsal Dinner

Your rehearsal dinner doesn’t have to be a formal grand affair. Remember, that part comes on your actual wedding day! Instead, a great idea to save money for this event is to have something less formal. Maybe a backyard cookout if the weather permits or possibly your parents or a friends house can hold your guests and will host a catered dinner in your honor. You don’t have to have a huge dinner, just invite your bridal party, parents and officiant. Not all of your guests have to be there so don’t splurge on this part of your wedding. Your rehearsal dinner is just that, practice for the real show the next day!

Guest List

If you happen to have a list of people you are unsure if you should invite try making an A, B & C List. Your A List should include your close friends and immediate family. Use the B & C List for co-workers, friends you may not have recently been in touch with and those distant cousins and other family members you haven’t seen in years. Now, who makes the cut? If you have guests on your B & C Lists that you have not talked to within the past year it is acceptable not to feel obligated to invite them to celebrate this special day with you. If you’re still unsure if you should invite them, try this strategy. Would you take this guest out to dinner and spend $150 per person at a 5 star restaurant on them without blinking an eye? Or, would be just as satisfied with taking them to Applebee’s and spending only about $40 on their meal? If Applebee’s is your decision, don’t invite them. (Note: We Love Applebee’s!)

Saving money is a top priority for couples planning their wedding day. If you have set a budget and are trying to keep costs low here are some ideas on ways to find some savings! Remember, there are certain aspects you will want to spend more on, but some items are less important than others.

Cake

Just because you are expecting 250 guests does not mean you need to accommodate with 250 slices of cake! This is a big money saving tip. Not all of your guests will want to have cake for dessert. Plus, if you are having a wedding in Pittsburgh you will most likely have a cookie table as well. Instead, try a sheet cake for the staff to serve to your guests. You can still cut the top tier and save it for your First Anniversary but the bottom tier of the cake can be fake and your guests will never know the difference. Going this route you don’t have to spend hundreds of dollars on a cake they may or may not be eaten.

Alcohol

Most of your guests will be excited to know that you have an open bar. Just like all other areas of your wedding, saving money is an option on drinks also! Most wedding receptions have an open bar for 5-6 hours which includes your cocktail hour. That being said, hopefully your guests won’t mind the bar being closed for 1 hour during dinner. Instead try serving iced tea, lemonade, water and soda. If you think your guests would really enjoy a beverage during dinner another money saving alternative is just offering wine during that time also.
