Don’t get wrapped up too much in the fantasy of hosting your wedding at one of these newer wedding venues just yet. Some of these places are hastily put together residential properties. Their lack of experience can spell disaster for your big day. That’s why this month, we’re counting down the biggest new venue red flags that you should look out for.

Red Flag: Proper Power

When booking your venue, you want someone with loads of experience and who is properly prepared. This includes having the proper power. From your lights to your entertainment, many elements are running for hours at a time. Some new venues can not support that level of power necessary. This could cause delays in food, entertainment, or even worse, a total blackout.

 

Red Flag: Placement of Entertainment

The placement of your entertainment is crucial to the enjoyment of all of your guests. To an untrained wedding venue proprietor, the layout might not seem like that big a deal. Because of his, DJs wind up in a corner of the hall to blast music behind your guests. An experienced venue will know where to place entertainment for maximum efficiency and quality. 

Red Flag: Awkward Layout

Commonly, some of these newer venues were once residential properties. This means the layout was not designed to host an event of great size. Think about your other vendors when booking a venue. Is the kitchen conducive to your dinner plans? How far is the kitchen from where everyone will be eating? Are there bathrooms that are easily accessible? You want your wedding to run as smoothly as possible, so make sure the layout won’t be a burden to your vendors or guests. 

The set up of the venue is crucial to everything running smoothly. Newer venues might not have the facilities for all of your vendors to set up and tear down efficiently.

While they may look new, shiny, and perfect, many wedding venues are just not prepared to host an event of that magnitude and are looking for a quick buck. Keep your eye out for these red flags so that you don’t end up with lots of problems on your wedding day.

Don’t let the glitz and glamor of a new venue in your area lure you into signing a contract with an illegitimate business. This month, Wenning Entertainment is breaking down the top concerns you should know when booking newer wedding venues.

What Should You Look Out For?

While it’s easy to imagine you and your loved ones partying the night away at one of these newer venues, you might not be able to if they do not have the proper clearances. Newer venues sometimes start out as residential properties. Think those beautifully renovated barns everyone loves. 

 

These are under residential zoning laws. If your venue has not filed its business as a commercially zoned property then you’ll need to worry about sound restrictions. If your venue isn’t zoned properly, be prepared to shut the party down earlier than you might have wanted. 

What Should You Do?

This is not the fun part of wedding planning by far. But if you don’t want the celebrations shut down at 9 pm: you have to ask. You’re going to pay these people to host one of the most important events of your life — make as many inquiries as you can! If they are under residential zoning, it might be time for you to decide whether booking with a newer, sometimes cheaper venue is worth cutting the party short, or if you’d rather save the headache and go with a more established location.

You won’t be having your wedding at the same place everyone else you know did. You have an original place to call your own! However, although these places might look like the perfect spot for your big day, there are some traps you can fall into with these newer venues. That’s why this month, Wenning Entertainment is breaking down the top concerns you should keep in mind when booking newer wedding venues.

Insurance

While it is definitely not the most fun part of your wedding planning journey, having everything properly insured is one of the most important aspects of booking your wedding venue. The benefits of booking your wedding at an established venue are that they have been in the game long enough to have their own insurance plan in case things go sideways.

 

The issue with newer venues is that they might not have a set insurance plan for couples. This means that if you are booking with someone newer, they might charge you for the venue and then add an extra charge for you and your finance to cover the location and the guests.

 

This is a major red flag. This means that they do not have the proper insurance to cover this event. Due to their lack of insurance, they try to force the clients to buy an additional insurance policy to cover their lack of liability.

 

If you’ve never planned a wedding before, you might think this is the industry standard — IT’S NOT! If a venue is trying to get you to do this, look for a different venue.

Green Flags

A green flag to look out for with these newer wedding venues is if they have a standardized insurance plan included. This will ensure that your venue is properly covered and you won’t be paying a whole lot of extra money. If they recommend you get your own insurance, they might not be worth your money.

How To Seat Your Guests

You must consider the age, health, and personalities of your guests. Do you think that your older loved ones are going to have a great time at dinner when they are placed right by the DJ booth? Of course not! If the seating chart is flawed, then no one will be having a good time. The following are Wenning Entertainment’s top tips for how to seat your guests.

Mind the Music

The right floor plan is crucial for making your reception a hit. Keep the DJ in the middle of the room, right next to the dance floor, and place the tables around both. If you put your DJ in a corner behind the tables, that will mean that some tables are getting blasted with music from the speakers that are right up on them.

 

Do not put any of the older guests by the speaker. Place the younger folks who can handle loud noise to the front by the DJ and speakers. They can take the noise better and will have a better appreciation for the music. A lot of times, where you put your DJ determines exactly how much space you must maneuver your guest seats — and there could be only one way you can line those up. No one wants to be up close to speakers at a wedding but if it must be someone, make it the younger guests.

Access to the Dance Floor

In the same vein as the music, position your younger guests closer to the dance floor. This way, you won’t be annoying your older guests with people rushing past them to dance and your younger guests get easy access to the party!

Etiquette rules have loosened. After two years of mandated social distancing and capacity limits, people want to get together and celebrate with their loved ones in whatever ways they can. So they are less concerned with adhering to traditional wedding etiquette. Buffet or even family-style services have replaced sit-down dinners. Dress codes also aren’t as common anymore. The philosophy of this year’s wedding trends seems to be: come as you are and have a great time.

Multi-Day Weddings and Elopements

There is a rise in couples having their wedding day cut in half. They have one day for those who are older or immunocompromised and one for everyone else. In some cases, everyone comes to the ceremony with a light reception to follow. The next day, there is a big party for everyone else!

When To Book Your Vendors

The wedding business is booming right now! Because of this past year of forced cancellations and postponements, this season has almost two years’ worth of weddings in one. It is fantastic that everyone is celebrating these special moments again! However, it has led to some logistical issues with venues and vendors.  

Why The Long Wait Times?

The higher volume of couples planning weddings and the nationwide employee shortage have made booking venues and vendors even more competitive than before. So if you are planning on getting married in 2022, start planning now!

How Far In Advance Should You Book Your Vendors?

Now, after the wedding boom, the line for vendors is longer than ever before. Currently, experts are recommending that you look to book your ceremony and reception venue up to 18-24 months in advance. For professional photographers and videographers, this time frame should be between 12-18 months. And be sure to be patient when it comes to receiving your wedding photos or videos since the editing process could take weeks or even months. And for your florist, catering, and DJ, try to book those at least 12 months in advance. 

It sounds crazy to book your vendors that far in advance but, these are crazy times after all. Every vendor and location is different. The best rule to go by for wedding planning this year is to book your venue and vendors that serve one specific purpose, like videographers, florists, etc., as soon as possible.

And do not forget: because of the spillover from last years’ cancelations and the current worker shortage, please be patient with your vendors and your venue.  They are here to help you make the most of your big day!

But with more people getting vaccinated, we have seen a boom in weddings this season, and we do not predict that it will get any less busy any time soon. This increase in weddings has led to an overcrowding of this year’s fall and winter wedding season. So even though we know it is hard to wait, the best post-pandemic wedding advice we can give you is to please be patient with your wedding vendors and have realistic expectations for your wedding content.

Post-Pandemic 

You have heard about the lack of workers nowadays and how that is causing serious efficiency problems across all industries. That includes the wedding industry! The wedding business, in general, has been hit with shortened staff. Because they were out of work for a year and a half, many vendors and DJs had to get other jobs. Now there are not as many available to fit the demand.

Shortages and Delays

With last year’s weddings put on hold, this season is almost two years in one. All wedding clients are very busy, so it will take a little more time than usual to get the job done. Typical turnaround times for wedding videos range anywhere from 11 to 12 weeks under normal circumstances. All jobs have been doubled or tripled, so your content may arrive later than intended.

So if you are waiting on your wedding photos or video, please be patient, your vendors and wedding team. They are, after all, here to help, but they are extra busy nowadays. Give your vendors some time, and they will help you create the wedding album or video of your dreams!
